Top 12 Ways to Minimize Costs When Working With a Computer Consultant

#1 Understand What Services You Are Purchasing

Before authorizing any services to be performed, discuss what the consultant will do and how much it will cost. If you are purchasing more than $300 in services, ask the consultant for a written estimate or a fixed-price for the project.

#2 Repair vs. Upgrade: Understand the Differences

Ask yourself how much it would cost to just buy a new piece of equipment or software instead of servicing the old one. Because of how quickly computer parts are updated, it may be less expensive to purchase new hardware or software. Ask your consultant about the maintenance costs for the old product versus the new one and whether the new product would have any features you would be able to utilize.

#3 Determine What You Should Do and What the Consultant Should Do

If you are cost-conscious when working with a computer consultant, determine which services the consultant will perform and what you can do by yourself. For example, if you are adding a new computer to your wireless network, the computer consultant may install the wireless network card and set up appropriate security for the network. You may be able to save money by installing software and configuring basic services such as e-mail.

#4 Ask Your Consultant for Advice Before Making Software or Hardware Purchases

Most consultants offer free advice by phone or e-mail. When purchasing something new, ask the consultant whether it will be compatible with your system, what the warranty options are, which vendors offer the most robust products, and where to buy for the best prices.

#5 Choose the Best Support Method

Many consultants charge for phone and on-site support, but not for e-mail. E-mail is quick and easy because you will be doing the work under the consultant’s guidance. In many cases, if the consultant charges for phone support, it may be more efficient to schedule a service call because the consultant will be doing the work and can see the problem directly instead of giving you guidance over the phone.

#6 Get Training

Many on-site service calls can be prevented if you ask the consultant to show you how to fix the problem. For example, a router may drop your internet connection occasionally. If you know how to restart the router, you can avoid having to wait for a service appointment and paying for repair service. Printer problems are often repetitive and generate many unnecessary service calls. Don’t be afraid to learn about the details – it will often be much easier than you think.

#7 Determine Who Will Purchase Equipment

When purchasing parts for service, determine whether you or your consultant will purchase the parts. Often it may not be a good idea for you to purchase them, because your consultant may have exact specifications for the product that must be purchased and often will have sources to buy at the lowest prices.

#8 Determine How to Protect Your Technology Investment

Extended warranties are very effective for printers and laptops which break often but of little use for routers and desktop computers. Having proper firewall and anti-virus protection can prevent your computer from virus infection. Talk with your consultant about maintenance for your new software or hardware.

#9 Be Prepared for Your Service Call

Organize your original software CDs, usernames, passwords, and account information. If you do not have this information prepared before the consultant arrives, the consultant will spend billable time locating this information which will increase your service fee.

#10 Understand the Consultant’s Qualifications and Experience

For complex systems and niche areas such as Linux, Macintosh, Cisco Routers ask the consultant what their qualifications and prior experience are. This can make a huge difference in your bill because if you hire a generalist, you will likely spend money training them before they can do the job. If you hire a specialist, the hourly rate will be higher, but the work will be done faster and often more cost-effectively.

#11 Demand Written Documentation if Necessary

If you absolutely cannot have any downtime or another consultant or service provider may need to access your system, demand written documentation from your consultant for all work performed. This should include all technical specifications, system configuration, usernames and passwords.

#12 Understand the Consultant’s Policies

Many consultants bill a minimum of one or two hours for on-site service calls. Some charge for phone support while others don’t. Some offer fixed-price services. By understanding the policy, you can structure their work in a way that is most cost-effective.

Windows Defender Released Today - Replaces Microsoft Antispyware

Windows Defender (formally Microsoft Antispyware) Beta 2 has been released. Downloaded, installed, scanned with it, first impressions are it looks a lot nicer, cleaner simpler interface.

Windows Defender needs Automatic Update service running to get definition updates, and downloads them directly through the network connection for Generic Host Process for Win32 Services. Not sure if I like that. It scans a lot slower, especially when scanning archives. It took forever to get through my Call of Duty 2 and Battlefield 2 program folders. Those game installs are loaded with huge archive folders for maps. Only 8.4 gigs on this drive and it took 23 minutes to scan with a full system scan, spending like 22 and a half minutes on just this drive. It went through my other drive with nothing but 9.5 gigs of mp3 files very quickly. Windows Defender REALLY wants to run all the time now like an anti-virus. Even when I disable Windows Defender real time protection, which it has loads of check points for, and close the window, it leaves no icon in the tasktray, but still has two running process’s, (MSASCui.exe and MsMpEng.exe), one using 15 megs of memory and the other 5.

I, personally, don’t want it running all the time. I don’t need it running all the time. It didn’t find a single thing because I never get any spyware. I just want it to do the occasional full scan when I tell it to.

It took me a couple minutes to figure out how to shut Windows Defender down. It installs a whole new service, Windows Defender Service. Maybe if I just stop the service and set its startup type to Manual, and remove the startup entry it created too, ok rebooting to try it, ok not starting with system. Failing to start service when running it, must manually start the service. Ok I manually started the service, running ok now, must manually stop the service to shut it down again, and then end task on the 1 process it still leaves running (MSASCui.exe, using 5 megs of memory) even after shutting down its service.

I’m gonna have to manually start Windows Defender service everytime I want to use it, and then manually stop its service, and kill the extra process it still leaves, when I’m done. Cause I just don’t need it or want it running all the time if I’m gonna scan with it once a month at most.

It really wants to be integrated and run all the time. I don’t think I’ll mind when its preinstalled into Vista, but this aint Vista, and it should shut down when I want it to. Thats ok I know how to shut it down and how to get it started again when I want to use it.

Pretty impressed with Windows Defender even tho I don’t like how badly it wants to always run. Its Software Explorers thing in its Tools section, and also places a shortcut for in the windows control panel, is pretty impressive. Gives loads of info about everything, every startup item, every running process, every open network connection.

I like Windows Defender, now that I figured out how to tame it. It has no license expiration date anymore in its about box either.

Few topics are as controversial as outsourcing. This is understandable. To state obvious, jobs are a fundamental part of our ability to lead a happy and productive life.

Unfortunately, jobs exist within context of volatile global markets. growth of Outsourcing is result of developing nations reaching a point in economic evolution where y have skills to compete in higher-skill domains traditionally served by rich country workers. Same cost advantages offered to lower-level manufacturing are now being brought up value chain to software development.

In United States, a number of congressmen have proposed bills which would protect American IT workers from foreign labor competition. Fur more; though few are as overtly anti-trade as Dick Gephardt or Dennis Kucinich, it is increasingly clear those Democratic Party contenders for U.S. presidency view foreign competition as a potential winning issue in 2004 race.
Don’t deny that Western IT workers will have to make adjustments to accommodate new global reality. However, as I explain in this article, outsourcing is not jobs catastrophe its opponents make it out to be. Fur more, is a number of practical reasons to maintain an open market position which have ramifications for future health of Western economies. In short, like it or not, Western nations need outsourcing.

Don’t overestimate threat my first job as a programmer was with Price Waterhouse. My memory of that time includes a frightening amount of airplane food, as I made weekly round-trip flights to client destinations from my home “base” (at time, Dallas, Texas).

Reason for this was that Price Waterhouse assisted clients in creating custom software–and this required close interaction with client. Whole teams of developers would be flown to site to gar requirements, generate prototypes and write code. Real world Custom Development is often a trial and error process, something that works best when developers on-site can respond instantly.

Maintenance work, however, does not require such close interaction since broad outlines of application have already been laid out. This development was often performed off-site, reform, saving client airfare and housing costs.

Custom Software, even under best conditions, often must contend with “fuzzy” requirements. Likewise, most software is of ad-hoc variety, and often is “temporary” in that actual code written has a short life span. This means that most software will need kind of close client interactions Price Waterhouse provided to its customers. Such interaction can’t occur when consultants are sitting in an office in Hyderabad.

Fur more, people best qualified to work with American or European clients will be or Americans or Europeans, given shared cultural context co-nationals share with ir fellow citizens. In or words, most custom development will call upon local citizens, because ir ingrained “skill” at dealing with local clients cannot be replicated.

Maintenance, however, can be performed off-site, including at offshore locations. This was central to arguments made by Rahul Sood and George Gilbert in ir recent article. y noted that one of best way to use outsourced labor is as a place to offload maintenance tasks, freeing up domestic labor force for higher-value new Software Development.

Even so, this doesn’t mean that domestic IT staff won’t face jobs pressure. In long term, however, it pays not to underestimate power of software industry to create new jobs.

Rise in demand for software developers in 1990s was result of industry’s attempt to digest changes introduced by spread of Internet. Technology continues to advance, however, and it is my opinion that we have only seen tip of iceberg in terms of integration of computing power into our daily lives. I spoke of software opportunities created by adoption of RFID technology in a previous article, but also consider advent of smart phone technology, or even growth of wearable processing power (SPOT watches being a good example) to be areas for future growth and jobs.

Technological advances in se and or areas will drive demand for new categories of software, and that demand will pick up any slack those results from expansion of global pool of developers to include citizens of developing nations.

Lastly, large economies are often ir own biggest markets. Exports account for 10 percent of GDP in United States (which is currently world’s largest economy), compared to 43 percent in South Korea and Switzerland, 36 percent in New Zealand and 28 percent in France. This position is mostly a function of America’s size, at 300 million people, and its wealth, with a GDP of 10 trillion. As China’s 1.3 billion citizens grow in affluence, Chinese companies are bound to find that China is its biggest market.

As Asian economies grow, programmers are going to be too busy serving ir own markets to offer much competition for American or European software projects. It is in interest of Western programmers, refore that Asian economies develop as fast as possible.

Company competitiveness matters. Many who oppose outsourcing offer no alternative means to make up for cost savings missed by a refusal to outsource. This matters, because modern companies compete on a global stage. Unless every company in world decides to forego use of lower-cost software developers, companies that fail to outsource will make selves less competitive.

Internet Security Threats: Who Can Read Your Email?

Before being able to choose a secure Internet communication system, you need to understand the threats to your security.

Since the beginning of the Internet there has been a naive assumption on the part of most email users that the only people who are reading their email are the people they are sending it to. After all, with billions of emails and gigabytes of data moving over the Internet every day, who would be able to find their single email in such a flood of data?

Wake-up and smell the coffee! Our entire economy is now information based, and the majority of that mission critical information is now flowing through the Internet in some form, from emails and email attachments, to corporate FTP transmissions and instant messages.

Human beings, especially those strange creatures with a criminal mind, look for every possible advantage in a dog eat dog world, even if that advantage includes prying into other peoples’ mail or even assuming your identity. The privacy of your Internet communications has now become the front line in a struggle for the soul of the Internet.

The New Generation Packet Sniffers:

At the beginning of 2001, most computer security professionals began to become aware of an alarming new threat to Internet security, the proliferation of cheap, easy to use packet sniffer software. Anyone with this new software, a high school education, and network access can easily eavesdrop on email messages and FTP transmissions.

Software packages such as Caspa 3.0 or PassDetect - Ace Password Sniffer automate the task of eavesdropping to the point were if you send an email messages over the Internet with the phrase “Credit Card”, it’s almost a certainty that someone, somewhere will capture it, attachments and all.

A good example of this new class of software is called MSN Sniffer, also from Effetech, and it highlights the “party line” openness of today’s LAN and Internet environments. Just like old telephone party lines, MSN sniffer lets you listen-in on other people’s conversations, just like picking up another phone on a party line.

On their web site, Effetech advertises MSN Sniffer as:

“a handy network utility to capture MSN chat on a network. It records MSN conversations automatically. All intercepted messages can be saved as HTML files for later processing and analyzing. It is very easy to make it to work. Just run the MSN Sniffer on any computer on your network, and start to capture. It will record any conversation from any PC on the network.”

Just as the Internet has been flooded by a deluge of spam messages after the introduction of cheap, easy-to-use spam generation software, the same effect is now taking place with sniffer software. The major difference is that, unlike spam, Internet eavesdropping is totally invisible, and ten times as deadly. How much of the identity theft being reported today is a direct result of Internet eavesdropping? Its hard to tell, but with the every growing dependency by individuals and corporations on Internet communications, opportunities to “capture” your sensitive data abound.

Most FTP transmission are unencrypted!

As of November 2003, the majority of corporate FTP transmissions are still unencrypted (unencrypted is geek speak for “in the clear” ) and almost all email communications take place “in the clear”. Many email and FTP transmissions travel over 30 or more “hops” to make its way from the sender and receiver. Each one of these hops is a separate network, often owned by a different Internet Service Provider (ISP).

Any Idiot in the Middle

Even a well run corporation must still primarily rely on trusting its employees, contractors and suppliers to respect the privacy of the data flowing over its networks. With the new sniffer technology, all it takes is one “idiot in the middle”, and your security is compromised. It could be the admin assistant sitting in the cubical next to you, or a network assistant working for one of the many ISPs your data will travel over, but somewhere, someone is listening. Maybe all he is looking for is his next stock trading idea, or maybe he wants to take over your eBay account so he can sell a nonexistent laptop to some unsuspecting “sucker” using your good name. its all happening right now, at some of the most respected companies in the world.

Access to your network doesn’t have to come from a malicious or curious employee-many Internet worms, Trojans and viruses are designed to open up security holes on a PC so that other software can be installed. Once a hacker has access to one computer in your network, or one computer on your ISP’s network, he can then use a sniffer to analyze all the traffic on the network.

So I’ll password-protect my files, right?

You’re getting warmer, but this still isn’t going to do the trick. It’s a good way to stop packet sniffers from searching for key words in a file, but unfortunately it is not as secure as you might think. If you ever forget a Zip, Word or Excel password, don’t worry, just download the password tool from Last Bit Software www.PasswordTools.com, it works very well. There are many other packages out on the Internet but Last Bit’s tool is the most robust and easy to use, if a bit slower that some others.

So what can I do about it?

OK, so now that you understand the threat, what can you do about it?

Stop using the Internet? - More than a few professionals are returning to phone calls and faxes for all their important communications.

Complain to your IT department? - If you have an IT department in your company this is a good place to start. But did the spam mail stop when you complained about it to your LAN administrator? Unfortunately he is almost as helpless as you are.

Encrypt your communications with PKI, etc. - For email this is a bit drastic, and can be very expensive, especially since you will need to install a key on each PC and coordinate this with the receivers of your email messages, your IT organization, etc.

Use FileCourier - This is by far the easiest and most cost effective way to protect your email attachments, or replace FTP transmissions. It takes out the “idiot in the middle” with a very clever solution.

12 Essential New Features of Office 12

The final version of Office 12 is slated for release in mid 2006. Although Microsoft is yet to confirm what the final version of Office 12 will include, the broad areas that have been the focus of change are productivity, handling of business information, managing of documents, and enhanced user friendliness.

1. All programs like Word, Excel, and Power Point have a new look. The new user interface has a ribbon of frequently used commands and operations which will enhance usability instead of drop down menus.

2. The server based capabilities include document rights and work flow management.

3. In the case of the revamped Excel, it will support SQL Server 2005, and have much awaited features like greater spreadsheet capacity, tools for sorting and filtering, as well as extensive data visualization capabilities. The user will be able to access, analyze, and share information securely and easily not just within the system but between databases and enterprise applications.

4. The new system will support sharing of workspaces and exchange of information across corporate boundaries. Incorporating P2P capabilities, the system it all set to take a giant leap forward.

5. One aspect under consideration is “out-of –the-box secure enterprise instant messaging.”

6. Deeper incorporation of XML will make the system a development platform. Developers will be able to create software that interoperates with the system without hitches.
